Booking Conditions
PILLINGER WORLD TRAVEL LTD of Black Bull House 353-355 Station Road, Bamber Bridge, Preston, Lancashire, PR5 6EE, company number: 06997992 acts as retail agents on behalf of the tour operator(s) with whom your booking has been made. Tour operator(s) are the ATOL holder (Air Tour Operator’s License) and ATOL number as clearly stated on your receipt. Your reservation is subject to the tour operator’s terms and conditions of booking and you are bound by these conditions, a copy of which can be made available on request. PILLINGER WORLD TRAVEL LTD also acts as the ATOL holder for tailor-made bookings, ensuring financial protection for those custom travel arrangements. PILLINGER WORLD TRAVEL LTD reserves the right to alter these Booking Conditions at any time.
SCHEDULED FLIGHTS & ISSUING OF TICKETS
The flight times displayed at the time of booking are susceptible to change before your flight departure. We highly recommend verifying your flight reservation on the airline’s website or app 48 hours prior to departure. Typically, flight tickets are issued no later than 30 days before departure. However, you can request ticket issuance earlier, provided that full payment has been made. Please note that once tickets are issued, any changes made afterward are subject to the airline’s own policy rules.
OUT OF DATE RANGE HOLIDAYS
Flight reservations that fall outside the date range are those included in your holiday package with a departure date more than 11 months from the booking date. While we guarantee the airline fare and holiday price, we reserve the right to adjust your routing, including changes to the airline, stopovers, or connection times, to ensure your convenience. For holidays booked outside the standard date range, accommodation is subject to availability. We reserve the right to change your accommodation to a comparable alternative, ensuring it maintains the same star rating and is located in a similar area.
VEHICLE HIRE
It’s important to provide the full name of the main driver at the time of booking. Verify this information on your booking confirmation along with ensuring that all vehicle specifications match your booking. Please note that name changes are not possible for car hire bookings. If changes are necessary, a new booking will be required at the current rate, and your original booking may incur a cancellation fee.
Upon vehicle collection, the named driver must present both a credit card for the security deposit and a valid driving license plastic card containing a photograph of the named driver. Debit cards and paper driving licenses are not accepted. Unless otherwise specified, all our vehicle hire bookings come with full insurance coverage.
If additional drivers are needed, they must pay a supplement and present their own driving license at pick-up. The vehicle must be returned with a full tank of fuel unless you’ve opted for the pre-paid fuel option. Please refer to your vehicle voucher for specific terms and conditions.
HOTEL CLOSURES
Our accommodation providers retain the authority to relocate your accommodation booking to a comparable alternative hotel only if your originally booked hotel is closed for any reason during your intended stay dates. The replacement hotel will be situated in a similar area to the original one, and the room type will be of equivalent standard or better. Please note that no refunds will be provided in this scenario.
INSURANCE
It is required that all passengers on the booking have adequate travel insurance prior to departure. Prior to, or while on holiday, Pillinger World Travel Ltd will not accept any liability for personal accident and medical expenses, evacuation and repatriation, baggage loss, and cancellation or curtailment of holiday.
ALL PAYMENTS
Pillinger World Travel accepts Debit cards, Credit cards, and bank Transfer. We also accept a maximum of £3,000 cash for any booking, regardless of booking value. Pillinger World Travel does not accept AMEX payments under any circumstances at any time.
If paying by bank Transfer, a screenshot of the payment must be sent by email to customerservice@pillingerworldtravel.co.uk straight after the payment has been sent. Failure to do so could result in your payment not being added to your booking. The above payment terms covers all payments including deposit payments, interim payments and balance payments.
DEPOSIT PAYMENTS
A deposit is usually payable at the time of booking. By paying a deposit, you are accepting our terms & conditions. The deposit can be paid through any payment method. Alternatively, you can pay the full value of your booking at the time of booking.
FURTHER DEPOSIT PAYMENTS
If you’ve opted for our split low deposit plan, you’re required to make an additional deposit no later than six weeks from your booking date, which is when you initially paid the first half of your split deposit. We don’t send reminders about this before the payment deadline, but we’ll contact you on the due date to coordinate the payment.
You can make the further deposit payment before the due date. However, failure to pay the further deposit by midnight on the due date could result in automatic cancellation of your holiday, with the full loss of the deposit paid so far, and possible additional cancellation fees.
BALANCE PAYMENTS
Balance payments must be received by PILLINGER WORLD TRAVEL LTD no later than 12 weeks prior to travel. An administration fee of £25 per person can be charged to the customer where payments are received after this time. If the balance has still not been paid 5 working days after the due date, the booking could be automatically cancelled at full loss of deposit, together with any monies paid at the material time.
PASSPORTS, VISAS & HEALTH
All passengers must have a 10 year British Citizen passport (5 years for Children). You should note some countries require your passport to remain valid for at least 6 months from the date of entry. If your passport is in its final year of validity, you should check with the embassy of the country you are visiting, otherwise, travel may be denied. As it is not possible to claim against your insurance cover should you be refused in these circumstances, we suggest you allow plenty of time to make these checks.
Please be aware that customers are responsible for any visa or inoculation requirements for their destination. You may wish to obtain a copy of a useful booklet called Health Advice for Travellers. Up to date travel advice can also be obtained from the Foreign & Commonwealth office on 0207-008-1500 or from www.fco.gov.uk. It is also the customer’s responsibility to ensure ESTA visa waiver forms are completed no later than 7 days prior to travel
HOTEL STAR RATINGS AND RESORT FEES
The star ratings of hotels are determined by each individual supplier and are indicative of the amenities and characteristics of that particular hotel. It’s important to note that many hotels in the USA apply resort fees, while hotels worldwide may impose resort taxes or generic resort fees. These fees are payable directly to the hotel and must be settled either upon check-in or upon check-out.
FLORIDA VILLAS
Florida is rapidly expanding State and therefore construction may occur in or around the community in which your villa is located. PILLINGER WORLD TRAVEL LTD and any Tour Operator your villa is booked with have no control over this and accepts no liability for any inconvenience or disturbance that may be caused by such construction. It is sometimes possible that homeowners can sell their property therefore meaning that your chosen property can be taken off management company at any given time. Therefore, we reserve the right to offer you a ‘like for like’ villa which can be accepted for no extra charge. Alternatively, you may wish to look at other villas however extra charges may be applicable and this will be subject to availability.
FORCE MAJEURE
We regret that PILLINGER WORLD TRAVEL LTD cannot accept any responsibility or pay any refunds or compensation where the performance or prompt performance of our contractual obligations is affected by reason of ‘force majeure’ or changes to your holiday are caused by reason of ‘force majeure’. Circumstances amounting to ‘force majeure’ include any event which the Tour Operator or PILLINGER WORLD TRAVEL LTD could not, even with all due care, foresee or avoid, such as war or threat of war, riot, civil strife, terrorist activity, natural or nuclear disaster, fire, adverse weather conditions, government action related to global health pandemic’s and all similar events beyond our control. For the avoidance of doubt, any such Force Majeure event would be dealt with in respect of the ‘Travel Disruption or Cancellation by Supplier’ clause herein.
CANCELLATION BY THE PASSENGER
You may cancel your booking as long as it is communicated to us in writing to customerservice@pillingerworldtravel.co.uk. As this incurs administration costs, we will retain your deposit (deposits are non-refundable) and additional cancellation charges may apply. Cancellation charges on airline tickets are dependant on the airline, the fare type and when cancellation takes place, varying from 25% to 100%. Please note any Outstanding Deposit payments that were due to PILLINGER WORLD TRAVEL LTD prior to cancellation by passenger, you are still liable to fulfil this payment.
AMENDMENTS
If after booking you wish to change your travel arrangements we will do our utmost to meet these new instructions as long as they are received by us in writing and accompanied by an amendment fee. The standard minimum amendment fee is £50pp, dependent on the change.
It is your obligation to book the correct names as they appear in the relevant passport, as name changes are not always permitted, changes will incur administration fees, or in the majority of cases they will be treated as cancellations and will be subject to charges.
ISSUES WHILE ABROAD
If you encounter any problems during your stay at the resort, it’s essential to address them promptly. Start by informing the hotel front desk or contacting the emergency number listed on your accommodation voucher. For any transfer-related concerns, reach out to the emergency number provided on your transfer voucher. Similarly, if you encounter issues with your airline at the airport, make sure to seek assistance from an airline representative.
COMPLAINTS PROCESS
To ensure prompt response and resolution of any complaints, the lead passenger is required to send an email to customerservice@pillingerworldtravel.co.uk within 14 days after returning from the holiday. Please note that we will only engage in correspondence with the lead passenger.
LIABILITY
PILLINGER WORLD TRAVEL LTD is a member of the Global Travel Group PLC acting as an agent for the operators concerned. All bookings made with ourselves are subject to the terms and conditions of the operator concerned and we have no contractual liability to you in connection with any of the travel products supplied.
Your reservation is subject to the terms and conditions of each individual tour operator/supplier, a copy of which is available on request. Where applicable, a disclaimer form must, therefore, be signed and returned to us before the tickets are issued.
Please be aware that it is your responsibility to ensure that all legal immigration regulations are met before travelling to and from your destination, including visa and passport requirements.
PILLINGER WORLD TRAVEL LTD cannot be held responsible for passengers travelling without correct documentation.
TRAVEL DISRUPTION OR CANCELLATION BY SUPPLIER
PILLINGER WORLD TRAVEL LTD does not offer any cash refunds. In the event of any travel disruption by any supplier involved in a Customer holiday for whatever reason, including for the avoidance of doubt any; government restrictions, changes in FCO travel advise or other acts of nature outside of the control of PILLINGER WORLD TRAVEL LTD, an ATOL Protected Credit Voucher for the full value of the booking (or the affected part) would be issued. This voucher cannot be exchanged for cash and is protected by ATOL for use until its expiry in accordance with the terms shown therein to facilitate rescheduling of your booking. In the event of cancellation by the Customer in connection to any disruption, the Customer will be liable in accordance with the ‘Cancellation by the Passenger’ clause herein.
TRAVELLING DURING GLOBAL HEALTH PANDEMICS
Please ensure that you review, comprehend, and adhere to the entry prerequisites of the country you intend to visit, as it falls upon you to comply with the distinct requirements and regulations of each destination. PILLINGER WORLD TRAVEL LTD bears no responsibility for individuals who fail to adhere to these regulations.
Clients are responsible for verifying, comprehending, and adhering to the entry criteria of the country they are travelling to, which could include vaccination certificates, negative PCR test results within 48/72/96 hours of arrival, and completion of necessary Passenger Locator Form/Health forms before entry. Furthermore, clients must also verify, understand, and comply with any entry requirements for return to the UK. Failure to comply with the specific entry requirements of the destination may result in denial of boarding and categorisation of the holiday as a no-show, leading to complete forfeiture of all payments made.
